Assigning Officials to Games
Once games are on your master schedule, the next step is assigning officials to work them. ASM makes it easy to see who's available and fill each position.
How to Assign Officials
- Go to Administration → Master Schedule
- Find the game you want to assign officials to
- Click on the game to open the assignment view
- For each position slot:
- Click the empty slot
- Browse or search for available members
- Select the official to assign
- The assignment is saved immediately
Checking Availability
When assigning officials, ASM shows you who's available for that date:
- Available - the member has marked themselves as free on that date
- Not Available - the member has said they can't work
- No Response - the member hasn't submitted availability for that date
Best practice: Prioritize officials who have explicitly marked themselves as available. Assigning someone who hasn't responded may lead to last-minute declines.
Assignment Considerations
When deciding who to assign, you might consider:
- Availability - are they free on that date?
- Proximity - is the venue close to where they live?
- Experience level - is this a playoff game that needs a senior official?
- Fairness - is the workload balanced across your roster?
- Conflicts - are they already assigned to another game at the same time?
Replacing an Assigned Official
If an official can't make a game after being assigned:
- Open the game on the Master Schedule
- Click on the assigned official's name
- Remove the assignment
- Assign a replacement using the same process
Tips
- Use the schedule filters to narrow down games by date range, league, or status
- Check availability data before assigning - it saves back-and-forth
- Officials can sync their schedule to their phone via iCal once you publish - setup instructions
